1. Authorized Attendance:
• Only Xi-Amaru citizens and nationals in good standing may attend tribal meetings.
• Non-members and unauthorized individuals are strictly prohibited from participating.
2. Name Matching Requirement:
• The name displayed on the screen must match the name in the Xi-Amaru system. Click Here to learn how to update your information for Google Meet.
• If the name does not match, participants may be required to provide confirmation of their status or risk being removed from the meeting.
3. Presentable Attire:
• All attendees must wear appropriate and presentable attire, reflecting the respect and dignity of the Xi-Amaru Native American community.
• Attire with offensive symbols, messages, or inappropriate imagery is not allowed.
4. Camera Policy:
• All cameras must remain on during the meeting to verify attendance and promote engagement.
• Exception:
Participants at work who need to listen without using their camera may request prior approval.

To request approval, complete Virtual Meeting Support Form or email support@aboriginalministryofjustice.org subject line Meeting Exception with the following details:
• Full Name
• Email Address
• Phone Number
• Meeting Name and Date
• Reason and Date for Opting Out of Camera Use
Requests for exception for work are limited to a maximum of 6 meetings per 12-month period.
We do desire everyone to attend. Nevertheless, if accommodations are normally required, it is recommended not to attend since the primary purpose of tribal meetings is for active involvement and engagement.
5. Confidentiality and Security:
• All meetings are private and restricted to Xi-Amaru citizens and nationals.
• Sharing meeting links, access codes, or other details with unauthorized individuals is strictly prohibited.
• If malicious sharing is discovered, consequences may include:
• Exclusion from future meetings.
• Legal action or other disciplinary measures.
6. Respectful Participation:
• Members must participate respectfully and follow meeting guidelines. Disruptive behavior will result in removal from the meeting.
7. Recording Prohibition:
• Taking Recording of meetings without express permission is strictly prohibited.
• If discovered, unauthorized recordings may result in exclusion from future meetings and legal consequences.
8. Technical Etiquette:
• Participants must mute their audio when not speaking to avoid disruptions.
• Members are expected to stay engaged throughout the meeting unless excused by the facilitator.
By attending, participants acknowledge these rules and agree to comply, understanding the consequences for non-compliance.
